How to Cancel Your Salesforce Subscription: Notice, Steps, and Export

To cancel a Salesforce subscription, you have to deliver written notice at least 30 days before your current term ends. Miss that window and the contract renews automatically for another full year, with no refund and no way to reduce your license count mid-term. How to cancel a Salesforce subscription depends on which edition you’re on: Essentials and Starter plans have a self-service cancel button, while Professional, Enterprise, and Unlimited plans require you to notify the billing department in writing. In every case, the timing, the paper trail, and any third-party apps you installed matter as much as the cancellation itself.

The 30-Day Written Notice Rule

Salesforce’s Main Services Agreement governs every paid subscription. Section 11.2 sets the auto-renewal: unless you deliver written notice at least 30 days before the end of your subscription term, the contract rolls over for another one-year period. Section 5.1 is where the money sits. Fees are based on the licenses you purchased, not the ones you actually use. Payment obligations are non-cancelable, fees are non-refundable, and you cannot decrease your license count during the subscription term.1Salesforce. Free Trials Do Not Need To Be Canceled

If you signed up for a free trial and never converted to a paid plan, there is nothing to cancel. The trial expires on its own and you will not be charged. Gather Your Account Details First

Before you send anything, collect the information you will need to identify your account and reference the correct contract.

  • Your Organization ID, which uniquely identifies your Salesforce instance. Go to Setup and search for “Company Information”; the Org ID appears on the right side of that page.3Salesforce. Find Your Salesforce Organization ID
  • Your active contract and order form numbers, including quantities and renewal dates, which you can review in the Your Account app at salesforce.com/your-account.4Salesforce. Your Account
  • The primary billing contact on the account. Salesforce may refuse to process a cancellation from someone who is not that contact.
  • Your renewal date. Count back at least 30 days and mark that as your hard deadline for sending written notice.

Canceling Essentials and Starter Plans

Self-service editions include a cancellation option in the subscription management interface. Open the subscription page in your account settings, scroll to the bottom, and use the Cancel Subscription button. You will be asked why you are leaving before the cancellation is processed.5Salesforce Help. Canceling Professional, Enterprise, and Unlimited Plans

Larger plans have no self-service cancel button. Salesforce’s official guidance is to contact the Customer Service Billing Department by opening a support case through the Help portal.2Salesforce Help. Do both. Send a written email stating your intent not to renew, and include your Organization ID, contract number, and renewal date. File a support case through the billing department as well. The email creates a timestamped record proving you met the 30-day deadline, which matters if there is a dispute later. Keep the delivery confirmation.

Do not rely on a verbal conversation with your Account Executive as your only cancellation method. The official process routes through the billing department, not your sales contact. An AE may acknowledge your intent to cancel, but that alone may not satisfy the contractual notice requirement.

Cancel AppExchange Apps Separately

Canceling your core Salesforce subscription does not automatically cancel third-party apps you installed through the AppExchange. Each AppExchange Checkout subscription has its own billing relationship, and charges can continue after your main account is gone.6Salesforce Developers. Cancel an AppExchange Checkout Subscription

Before you finalize your cancellation, audit every installed package. In Setup, search for “Installed Packages” to see the full list. For anything billed through AppExchange Checkout, cancel it individually through the AppExchange. Apps billed directly by the vendor, outside Salesforce’s checkout system, require you to contact that vendor separately.

Consider Negotiating Before You Cancel

If the reason you are canceling is cost rather than a full platform switch, the renewal quote is a starting position, not a final offer. Start the internal conversation 90 to 120 days before your renewal date.

Audit your actual license usage by running a report on login activity over the past 90 days. A seat nobody has logged into for a quarter is evidence you are paying for capacity you do not need. That data supports a request for a reduced seat count at renewal, which is the only time you can lower your license count under the agreement.1Salesforce. Main Services Agreement

A documented evaluation of a competing platform is effective leverage. Companies that arrive at renewal with evidence they have genuinely tested alternatives such as Microsoft Dynamics 365 or HubSpot tend to receive better pricing than those who threaten to leave without proof. On a multi-year commitment, push for an annual price escalation cap in the range of 3 to 4 percent rather than accepting whatever standard increase is proposed.

Export Your Data Before the Term Ends

Once cancellation is submitted, exporting your data becomes urgent. You keep access through the end of your paid term, but the window to retrieve data after that is limited and not well documented. Do not wait until the last week.

The Built-In Data Export Service

Salesforce includes a native export tool. From Setup, type “Data Export” in the Quick Find box, then choose Export Now for an immediate export or Schedule Export for recurring runs. The limits matter. Enterprise, Performance, and Unlimited editions allow weekly exports; Professional and lower editions are restricted to monthly. Each ZIP file caps at 512 MB, and large orgs generate multiple files. You must download the export within 48 hours of the notification email or the files become unavailable and you have to run the export again. The service exports raw record data only, not metadata such as custom object definitions, automation rules, or page layouts. Relationships between records are not preserved in the flat CSVs, so parent-child structures have to be reconstructed manually if you are migrating to another system.

Data Loader for Large Orgs

If your org contains between 50,000 and 5 million records, the Data Loader client application is better suited for bulk extraction. It exports data from any Salesforce object, including custom objects, into CSV files. You pick the object, choose an output file, and map the fields.8Salesforce Developers. What Happens After Your Term Ends

Access continues through the last day of your paid term. After that, your org is deactivated and you can no longer log in. Salesforce retains data for a limited period after deactivation to allow final retrieval, but the company does not publicly commit to a specific retention timeline in the Main Services Agreement. Figures around 30 days circulate, but treat that as a rough estimate, not a guarantee. If your data matters, export it while you still have full access.

After the retention period, Salesforce permanently deletes all records, files, and metadata associated with your org. There is no recovery once deletion is complete.
