How to Cancel Housecall Pro: Exports, Refunds, and Final Billing

To cancel Housecall Pro, send a message through the in-app chat asking to cancel, then wait for a phone call from the billing team within one to three business days. There is no self-service cancel button in the dashboard, and billing does not actually stop until the account owner speaks with a representative by phone. Plan on starting the process at least a week before your next billing date, because fees are not prorated or refunded once a new cycle begins.

Check Your Next Billing Date First

This step matters because Housecall Pro does not prorate. Three days into a new month, you owe the full month. Three months into an annual plan, the remaining nine months are gone. Give yourself enough runway for the chat request, the callback, and the phone conversation to all happen before the next charge posts.

Export Your Data While You Still Have Access

Once the account is disabled, the dashboard, the mobile app, and everything stored inside go dark. Pull your records first. Only Admin-level users can run these exports, so the account owner or an admin needs to handle it.

Customers and Jobs

To export customers, click Customers in the top navigation, then Actions on the right, then Export. Confirm your email, click Send File, and Housecall Pro emails a CSV of your customer list. Photos and Attachments

There is no bulk download for photos and documents attached to jobs. You have to open each job, scroll to the Attachments section, and download files one at a time through the carousel viewer.3Housecall Pro Help Center. Invoices and Financial Records

Download paid invoices and any tax summaries from the reporting section separately from the customer export. Open each file to confirm it isn’t corrupted or partial before you move on. A bad download is easy to miss until months later, when you no longer have a way back into the account.

Disconnect QuickBooks and Other Integrations

If QuickBooks Online is linked, disconnect it before cancellation to avoid sync errors or orphaned transactions. Housecall Pro suggests contacting chat support first, then: click the gear icon or the green QuickBooks icon in the top-right corner, scroll down the left-hand Settings menu to QuickBooks Online, select Account Details, and click Disconnect My Account at the bottom. Do the same for any other connected tools, whether a payment processor, marketing platform, or review service. Cleanly deactivating these connections stops stale data from flowing into your other systems once Housecall Pro goes offline.

Submit the Cancellation Request

Use both available paths on the same day. That gives you a clear paper trail if there is any dispute later.

The primary method is the in-app chat. Click the Blue Chat Bubble in the bottom-right corner of your dashboard, select Support, then choose “Send us a message.” Tell the representative you want to cancel. The billing team will follow up within one to three business days by phone, so watch for calls from the 858 area code. This is the part that trips people up: Housecall Pro cannot fully process the cancellation or stop billing until a team member has spoken with the account owner over the phone.1Housecall Pro Help Center. The second method is email. The terms of service direct users to send cancellation requests to cancellations@housecallpro.com.5Housecall Pro. Terms and Conditions Include your account name, the email address on the account, and a clear statement that you want to cancel. The email gives you a timestamped record of when you first asked, which can matter if a charge posts after your request.

Refunds and Final Billing

The standard policy is that subscription fees are not prorated or refunded.5Housecall Pro. Terms and Conditions Cancel on day five of a monthly cycle, you pay the full month. Cancel in month three of an annual plan, the remaining nine months stay with Housecall Pro.

One narrow exception exists. In select agreements where Housecall Pro specifically communicates a money-back guarantee at signup, you can get a full refund of subscription charges by canceling within the first 30 days. The guarantee does not cover activation fees, postcard mailers, chargebacks, or other add-on costs, and it does not apply to re-enrollments, renewals after a first subscription, or upgrades from a lower tier.5Housecall Pro. Canceling During the Free Trial

The 14-day free trial does not require a credit card, so letting it lapse costs nothing.6Housecall Pro. Housecall Pro Pricing and Plans If you added payment information during the trial, use the same chat and email process above and make sure it’s done before the 14 days end.

What Happens After Cancellation

Once the billing team processes the request, the account is disabled within 14 days.5Housecall Pro. Terms and Conditions After that, you lose access to the dashboard, the mobile app, and all stored data. Your notification phone number is held for 90 days. Housecall Pro has no obligation to retain any other account information, and the terms say only that they “may” keep it, so there is no guarantee your records will still be there if you return later.
